• Jotform Inc. / Jotform Ltd – used as our secure data collection platform for canvassing

and online enquiry forms. Jotform acts as our data processor and only processes your

data in line with our instructions. Depending on your location and Jotform’s hosting

arrangements, this may involve transfers outside the UK/EEA under Standard

Contractual Clauses (SCCs) approved by the UK Information Commissioner.

• Installers and surveyors – including those directly employed by UKESN and trusted

third-party partners who carry out surveys and installations requested by you.

• Professional advisers – such as auditors, insurers, and legal advisers.

• Authorities – such as HMRC, regulators, or law enforcement where legally required.

We do not allow our third-party service providers to use your data for their own purposes.

International transfers

Where data is processed by providers outside the UK/EEA (for example, Jotform), we ensure appropriate safeguards are in place, including SCCs approved by the ICO.

Data security

We use appropriate technical and organisational measures to protect your data from loss, misuse, unauthorised access, disclosure, alteration, or destruction. Access is restricted to staff and partners who need it to perform their role.

Data retention

• Canvassing and enquiry data – retained for up to 18 months from the date of collection,

unless you proceed with a survey or installation.

• Marketing data – retained until you withdraw consent or opt out, and in any event no longer than 18 months without further engagement from you.

After these periods, your data will be securely deleted or anonymised.
